Electronic Attendance Taking
update date :
2024-11-06
【Implementation goals】
- Eliminate previous paper-based attendance and instructor sign-in records.
- Speed up students’ online access to their own attendance and absence records.
- Provide you as the instructor with online access to student attendance records.
【System directory】
MCUT Portal > Instructor Information Portal > Course Instructor Attendance-Taking System
【Implementation timeline】
- Beginning with the 2nd term of the 2014-2015 academic year, attendance for all courses in all academic streams is taken electronically.
【Electronic attendance taking】
- You as the instructor must complete taking electronic attendance during class hours, or complete a make-up electronic attendance within 5 days after the day of class (not including the day of class itself).
- If you don’t complete electronic attendance in a course for 3 days after the day of class (not including the day of class itself), the system will email a reminder to your inbox.
- If you don’t complete electronic attendance in a course for 5 days after the day of class (not including the day of class itself), you must print out a paper copy of the class roster, take attendance, fill out the paper copy, then file it with the Student Counseling Division within the Office of Student Affairs to resolve the matter.
【Attendance for rescheduled courses and make-up courses】
- When a course is temporarily rescheduled, you as instructor must make a note in the Course Instructors’ Electronic Attendance (New Version) time slot page, indicating the course’s Rescheduled Date and Timeslot.
- You must also complete make-up electronic attendance on the Course Instructor’s Class Attendance Report (Self-Selected Date) page.
【Courses exempt from attendance-taking】
- Courses that have no in-person instruction, such as Labor Education and guided projects.
- Off-campus practical work-style courses, such as Curricular Practical Training, Self-Study English During Vocational Practice, Corporate Internship, and Industry Professional Practice.
- Long-distance education courses, such as Year 3 long-distance education courses and on-campus long-distance education courses.
【Rotation-based courses】
- Rotation-based courses in the Continuing and Extension Education stream still require attendance. You as instructor are asked to use the Course Instructor’s Class Attendance Report (Self-Selected Date) page.
- The system does not have an automatic e-mail reminder function. Take extra note of this.
【Extension system overview】
- The Course Rescheduling/Make-up System has been in use since the 2nd term of the 2014-2015 academic year.
- Information synchronization between the Course Rescheduling/Make-up System and the Electronic Attendance Taking System is planned to be in place by the 1st term of the 2015-2016 academic year. A separate announcement will be made when the time comes.
